Sales Assistant, also known as Mobile SAP, is provided by Evo-Soft Ireland Ltd. This policy explains how the Android and iOS applications handle personal information when used independently or connected to an organisation’s business systems.

Your employer or the organisation providing your access normally determines how customer, sales and other business information is used. That organisation is normally the data controller for those records, and its privacy notice applies alongside this policy.
Evo-Soft is responsible for information it processes for its own software diagnostics, service administration and direct enquiries. Where we handle an organisation’s business records on its instructions, including for technical support, we process those records on its behalf under the applicable arrangements.
The information handled by Sales Assistant depends on the features and connection settings used:
- Account and connection information: user names, salesperson and device identifiers, organisation and server details, and credentials needed to connect to the organisation’s systems.
- Business records: customer names, addresses and contact details; orders, prices, payment records, notes, questionnaire responses, signatures and related business information. Records may be entered in the app or downloaded from the connected business system.
- Location information: With location permission enabled, the app can record precise location coordinates alongside sales records and work activities. It also automatically sends location coordinates and a device identifier to Evo-Soft during certain app activities. Evo-Soft uses these location reports for app support and troubleshooting. You can manage location permissions through your device settings; disabling access can restrict the current app’s connected business functions.
- Technical diagnostics: an installation identifier, app and operating-system versions, device manufacturer and model, connection state, screens used, errors, and information about the timing and outcome of synchronisation. Connected installations can also include organisation, backend-device and user identifiers. These records can therefore be associated with an organisation or user.
- Support information: correspondence and information supplied when you contact us, together with diagnostic files or database copies uploaded through the app’s support and maintenance functions.
Business information is stored on the device so the app can work offline. When connected to an organisation’s system, relevant records are exchanged with that system according to its configuration and access controls. Working offline does not mean that the app never communicates with Evo-Soft: diagnostics and approved support uploads operate separately from business synchronisation.
The app collects technical diagnostics automatically, including in standalone mode. They help us investigate faults, understand feature usage, improve reliability and support installations. Automatic diagnostic events exclude passwords, order contents, signatures and precise GPS coordinates. Location reporting and database uploads are separate processes.
You can pause diagnostic uploads using Setup → Telemetry → Upload diagnostics. This pauses transmission; it does not stop local diagnostic collection or delete information already received. Locally queued events may be sent if uploads are enabled again. An upload already in progress may complete.
Approved devices can upload database copies and older log files during automatic daily maintenance and when Send DB is selected. These copies support troubleshooting and recovery investigations. Database copies have the app’s stored password, API key, PIN and enrolment-secret fields removed before upload. They can still contain personal information in customer records, orders, payment records, notes, signatures and recorded locations. Removing credentials does not make a database anonymous.
Support uploads are encrypted on the device before transmission, and access to upload facilities requires device approval. These troubleshooting copies should not be treated as a guaranteed backup service.
Camera access supports barcode scanning when that feature is used. Location permissions can be managed through your device settings. Refusing or withdrawing location access can restrict the current app’s connected business functions. Where you open maps, compose an email or share an exported file, the selected application or service handles the information you send under its own terms and privacy notice.
The app also contacts Apple’s or Google’s public store services to check whether an update is available. These checks do not include your customer records or business-system credentials. The receiving service sees normal network information, including the IP address used for the connection.
We use personal information to provide the requested business functionality, maintain and secure the software, investigate problems and answer support or privacy enquiries. Your organisation is responsible for explaining its lawful basis for processing business records and employee activity information.
For processing that Evo-Soft controls, our proposed lawful bases are legitimate interests in operating, securing and supporting the service, balanced against individuals’ rights, and compliance with applicable legal obligations. Where a particular activity requires consent, we will explain the activity and how consent can be withdrawn.
The app does not contain advertising or cross-app advertising tracking. We do not use the business records supplied for support to target advertising.
Information may be accessed by your organisation’s authorised users and providers, and by authorised Evo-Soft personnel and service providers where needed for the purposes described here. Microsoft Azure provides infrastructure for Evo-Soft’s hosted services. We may also disclose information where required by law.
Evo-Soft’s app-service hosting is in Microsoft Azure’s North Europe region. The location of your organisation’s business systems depends on its chosen providers. Where personal information is transferred outside the European Economic Area, we use the safeguards required by applicable data protection law and can provide details on request.
Local information is protected by the operating system’s application-storage controls. Device or account backup services may retain additional copies according to their settings. Protect your device with appropriate access controls and follow your organisation’s security instructions.
We retain information according to its purpose:
- Business records follow your organisation’s retention requirements and the app’s data-management functions.
- The app maintains a bounded local diagnostics queue, with a seven-day age limit applied during queue maintenance.
- Server-side diagnostics are retained for 30 days.
- Uploaded databases and logs are retained for 7 days.
- Central location records are retained for 90 days.
- Support and privacy correspondence is kept while needed to handle the enquiry, maintain necessary service records and meet legal obligations.
Deleting local data or uninstalling the app does not delete records already held by your organisation, Evo-Soft or a backup provider. Contact the relevant organisation about those copies.
Subject to applicable law, you may request access, correction, deletion, restriction or a portable copy of your personal information. You may also object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing.
For information controlled by Evo-Soft, contact privacy@evosoft.ie. For your organisation’s business records, contact its administrator or privacy contact. We may request proportionate information to verify your identity.
You may complain to the Irish Data Protection Commission at dataprotection.ie, or another competent supervisory authority.
Sales Assistant is intended for business use and is not directed at children. This policy concerns the app; use of Evo-Soft’s website is covered by its separate website notices.
We will update this policy when our practices or the app’s handling of information change, and provide additional notice where required.
